Suojaamme henkilötietojasi
Työnantajasi tekee yhteistyötä Aon Finland Oy:n kanssa antaakseen sinulle parhaan mahdollisen vakuutusneuvonnan. Tässä yhteydessä käsittelemme sinua koskevia henkilötietoja, jotka saamme joko työnantajaltasi, sinulta tai Know Your Customer ("KYC") -palveluntarjoajiltamme. Meille on erittäin tärkeää suojella ja kunnioittaa yksityisyyttäsi, ja siksi haluamme tässä ilmoituksessa kertoa, mitä teemme käsitellessämme henkilötietojasi turvallisesti ja suojatusti.

 

Mitä ovat henkilötiedot?
Henkilötiedot ovat kaikenlaisia tunnistettavissa olevaa henkilöä koskevia tietoja, toisin sanoen kaikenlaisia tietoja, jotka liittyvät suoraan tai välillisesti henkilöön. Niitä voivat olla esimerkiksi nimi, osoite, puhelinnumero, asema, taloudelliset asiat, valokuvat ja IP-osoitteet.

 

Vastuulliset tiedot
Aon on vastuussa (rekisterinpitäjä) palveluista, joita tarjoamme vakuutusmeklarina. Tämä tarkoittaa, että keräämme, säilytämme, käsittelemme, poistamme ja mahdollisesti luovutamme henkilötietojasi kolmannelle osapuolelle, kun se on tarpeen, jotta voimme antaa sinulle parasta mahdollista neuvontaa ja palvelua vakuutukseesi liittyen.

 

Mitä henkilötietoja käytämme?
Aon kerää ja käsittelee seuraavia henkilötietoja sinusta

1. kun annat työnantajallesi neuvoja tiettyyn vakuutushakemukseen liittyen: yhteystiedot, henkilötunnus ja terveydentilaa tai vammoja koskevat tiedot,
2. kun annat työnantajallesi eläkevakuutusneuvontaa: yhteystiedot, henkilötunnus sekä palkkaasi ja eläkettäsi koskevat tiedot,
3. kun annat työnantajalle tai itsellesi vakuutuksia koskevia neuvoja: yhteystiedot, henkilötunnus ja palkkatiedot. Aon käsittelee tarvittaessa myös terveystietoja,
4. asiakkaan tuntemisen huolellisuusvelvollisuutta suorittaessamme, jos olet joko UBO, toimitusjohtaja, hallituksen jäsen tai asiakkaamme edustaja: yhteystiedot, henkilötunnus, pankkitunnus ja tehtävänimike, ja
5. jos saat meiltä vakuutuspalveluja ulkomailla asuvana tai matkustaessasi, saatamme käsitellä seuraavia sinua ja perheenjäseniäsi koskevia henkilötietoja: yhteystiedot, sukulaisuussuhteet ja henkilötunnus. Jos sinä itse annat meille perheenjäsentesi henkilötiedot, varmista, että he ovat tietoisia siitä, että käsittelemme heidän henkilötietojaan, ja että he saavat kopion tästä ilmoituksesta.

 

Käsittelyn tarkoitus ja peruste
Henkilötiedot, joita keräämme antaessamme neuvoja vakuutuksista tai tietystä vakuutushakemuksesta, kerätään seuraavin perustein

1. se on tarpeen oikeutetun etumme toteuttamiseksi, jotta voimme antaa työnantajallesi parasta mahdollista neuvontaa vakuutuspalveluihimme liittyen täyttääkseen sopimusvelvoitteemme työnantajaasi kohtaan,
2. se on tarpeen Aonin, sinun tai työnantajasi oikeudellisen vaateen laatimiseksi, käyttämiseksi tai puolustamiseksi, ja,
3. se on tarpeen meitä koskevien lakisääteisten velvoitteiden noudattamiseksi, mukaan lukien kirjanpitolainsäädäntö, ja
4. Henkilötunnuksen osalta sinun yksiselitteinen tunnistamisesi on tärkeää, jotta voimme täyttää velvollisuutemme työnantajaasi kohtaan.

 

Henkilötiedot, joita keräämme antaessamme työnantajallesi eläkevakuutusneuvontaa, kerätään seuraavin perustein

1. se on tarpeen oikeutetun etumme toteuttamiseksi, jotta voimme antaa työnantajallesi parasta mahdollista neuvontaa eläkevakuutuspalveluistamme täyttääkseen sopimusvelvoitteemme työnantajaasi kohtaan, ja
2. henkilötunnuksen osalta, että henkilöllisyytesi yksiselitteinen tunnistaminen on tärkeää, jotta voimme täyttää velvollisuutemme työnantajaasi kohtaan.

 

Henkilötiedot, joita keräämme, kun saat meiltä vakuutuspalveluja ulkomaanmatkalla tai matkustaessasi, kerätään seuraavien tietojen perusteella.

1. se on tarpeen oikeutetun etumme toteuttamiseksi, jotta voimme antaa työnantajallesi parasta mahdollista neuvontaa vakuutuspalveluihimme liittyen täyttääkseen sopimusvelvoitteemme työnantajaasi kohtaan, ja
2. henkilötunnuksen osalta, että sinun tai perheenjäsentesi yksiselitteinen tunnistaminen on tärkeää, jotta voimme täyttää velvollisuutemme työnantajaa kohtaan.

 

Henkilötiedot, joita keräämme asiakkaan tuntemisen huolellisuutta suorittaessamme, kerätään sillä perusteella, että ne ovat välttämättömiä Suomen ja EU:n rahanpesun ja terrorismin rahoituksen torjuntaa koskevaan lainsäädäntöön liittyvien oikeudellisten velvoitteidemme täyttämiseksi.

 

Henkilötietojen luovuttaminen kolmansille osapuolille
Henkilötietojesi asianmukainen käsittely on Aonille erittäin tärkeää. Emme myy, julkaise tai millään tavalla luovuta tietoja kolmannelle osapuolelle ilman suostumustasi, ellei se ole välttämätöntä kanssasi tehdyn sopimuksen täyttämiseksi tai Suomen voimassa olevan lainsäädännön noudattamisen varmistamiseksi. Emme käytä tietojasi muihin kuin tässä asiakirjassa kuvattuihin tarkoituksiin.

Saattaa olla tarpeen luovuttaa tietojasi sidosyrityksille ja tytäryhtiöille tai valituille ja luotetuille yhteistyökumppaneille, jotta ne voivat tarjota sinulle palveluitamme ja neuvojamme. Luovutamme tietojasi myös vakuutus- ja eläkeyhtiöille, jotka käyttävät tietojasi vakuutus- ja eläkejärjestelmän perustamiseen, mukauttamiseen ja käyttämiseen liittyen.

Tietotekniikan kehittämisen, isännöinnin ja tuen yhteydessä henkilötietoja voidaan siirtää henkilötietojen käsittelijöille, mukaan lukien Yhdistyneessä kuningaskunnassa sijaitsevat henkilötietojen käsittelijät, jotka EU:n komissio on hyväksynyt turvalliseksi kolmanneksi maaksi.

 

Henkilötietojen tallentaminen Aonissa
Aon on velvollinen suojaamaan henkilötietojasi. Käytämme teknisiä ja organisatorisia toimenpiteitä suojautuaksemme henkilötietojesi luvattomalta käytöltä ja käytöltä sekä henkilötietojesi muutosten tuhoamiselta tai julkaisemiselta minkä tahansa henkilön tai organisaation taholta. Turvallisuutesi ja suojelusi takaamiseksi henkilötietoihin on pääsy vain rajoitetulla määrällä henkilöitä, joilla on objektiivinen tarve.

Varmistaaksemme tietosi mahdollisimman hyvin, olemme hyväksyneet tietoturvaa koskevat sisäiset säännöt, joihin sisältyy ohjeita ja toimenpiteitä, joilla henkilötietojasi suojataan tuhoutumiselta, katoamiselta tai muuttumiselta tai siltä, että asiattomat henkilöt eivät pääse käsiksi tietoihin tai saa niitä tietoonsa. Lisäksi kaikkien Aonin työntekijöiden on noudatettava henkilötietojen käsittelyä koskevia sisäisiä menettelyjä ja sääntöjä, ja he ovat velvollisia osallistumaan henkilötietojen asianmukaista käsittelyä koskevaan koulutukseen.

 

Henkilökohtaisten tietojen poistaminen Aonissa
Poistamme henkilötietosi kymmenen vuoden kuluttua sen vuoden päättymisestä, jona saimme ne, eikä meidän enää tarvitse dokumentoida antamiamme neuvoja. Säilytämme henkilötietojasi sovellettavan lainsäädännön, kuten kirjanpitolain, vakuutusten jakelulain ja rahanpesun vastaisen lainsäädännön mukaisesti.

 

Sinun oikeutesi
Sinulla on oikeus saada tietoja henkilötietojesi käsittelystä sekä kopio niistä henkilötiedoista, joita käsittelemme sinusta. Jos huomaat, että käsittelemämme henkilötiedot ovat virheellisiä tai puutteellisia, sinulla on oikeus saada ne oikaistua.

Sinulla on myös oikeus vastustaa henkilötietojesi käsittelyä ja pyytää niiden poistamista tai rajoittamista.

Jos pyyntösi on perusteltu, korjaamme, poistamme tai rajoitamme henkilötietojesi käsittelyä vastaavasti. Pidätämme oikeuden vaatia sinulta henkilöllisyytesi todentamista ennen kuin vastaamme pyyntöösi.

We protect your personal information
Your employer is cooperating with Aon Finland Oy to give you the best possible insurance advice. In this connection, we will be processing personal information about you which we will get either from your employer or from you. It is very important to us to protect and respect your privacy, and in this notification, we would therefore like to tell you what we do to process your personal information safely and securely.

 

What is personal information?
Personal information is any type of information about an identifiable individual, i.e., any type of information directly or indirectly relating to an individual. It may for example be name, address, telephone number, position, financial affairs, photos, and IP addresses.

 

Data responsible
Aon is data responsible (data controller) in relation to the service granted by us as an insurance broker. This means that we will be collecting, storing, processing, deleting and possibly disclosing your personal information to a third party when it is necessary in order to enable us to give you the best possible advice and service in connection with your insurance.

 

Which personal information do we use?
Aon will collect and process the following personal information about you

1. when providing your employer with advice on a specific insurance claim: contact information, personal identity number and information regarding health or injuries,
2. when providing your employer with advice on pension insurance: contact information, personal identity number and information regarding your salary and pension,
3. when providing our broking services: contact information, personal identity number, and, depending on coverage, information regarding salary and benefits,
4. when conducting our Know Your Customer due diligence, if you are either an UBO, CEO, member of the board of directors, or the representative of our client: contact information, personal identity number, bank ID, and job title, and
5. if you are receiving insurance services from us as an expatriate or when traveling, we may process the following personal information regarding both you and the members of your family: contact information, family relations, and personal identity number. If you are the one providing us with the personal information of the members of your family, please make sure that they are made aware of our processing of their personal information and that they receive a copy of this notice.

 

Purpose and basis of the processing
The personal information we collect when providing advice on insurances or on a specific insurance claim is collected on the basis that

1. it is necessary to pursue our legitimate interest to give your employer the best possible advice in relation to our insurance services in order to fulfil our contractual obligations to your employer,
2. it is necessary to establish, exercise or defend Aon’s, your, or your employer’s legal claim, and,
3. it is necessary to comply with the legal obligations to which we are subject, including book-keeping legislation, and
4. with regards to personal identity number, the unambiguous identification of you is important to meet our obligations to your employer.

 

The personal information we collect when providing your employer with advice on pension insuranceis collected on the basis

1. that it is necessary to pursue our legitimate interest to give your employer the best possible advice in relation to our pension insurance services in order to fulfil our contractual obligations to your employer and
2. with regards to personal identity number, that the unambiguous identification of you is important to meet our obligations to your employer.

 

The personal information we collect when you are receiving insurance services from us as an expatriate or when traveling is collected on the basis

1. that it is necessary to pursue our legitimate interest to give your employer the best possible advice in relation to our insurance services in order to fulfil our contractual obligations to your employer and
2. with regards to personal identity number, that the unambiguous identification of yourself or your family members is important to meet our obligations to your employer

 

The personal information we collect when conducting our Know Your Customer due diligence, is collected on the basis that it is necessary to comply with our legal obligations in relation to Finnish and EU anti-money laundering and combating the financing of terrorism legislation.

 

Disclosing personal information to third parties
Correct handling of your personal information is very important to Aon. We will not sell, publish or in any way disclose information to a third party without your consent, unless it is necessary to fulfil an agreement with you or to ensure compliance with current Finnish law. We will not use your information for any other purposes than those described in the present document.

It may be necessary to disclose your information to affiliated companies and subsidiaries or selected and trusted cooperating partners in order to be able to provide you with our service and advice. We will also disclose your information to insurance and pension companies who use your information in connection with establishment, adjustment, and exercise of your insurance and pension scheme.

In connection with IT development, hosting and support, personal information may be transferred to data processors, including data processors in the United Kingdom which the EU Commission has approved as a secure third country.

 

Storing of personal information with Aon
Aon is obliged to protect your personal information. We use technical and organisational measures to protect ourselves against unauthorised access and use and destruction of changes to or publication of your personal information on the part of any individual or organisation. To ensure security and protection for you, only a limited number of people with an objective need have access to personal information.

To ensure your information as well as possible, we have adopted internal rules on information security including both instructions and measures to protect your personal information against being destroyed, lost or changed or against irrelevant people getting access to or knowledge of it. Furthermore, all Aon employees must observe internal procedures and rules regarding the handling of personal information and are obliged to attend training in correct handling of personal information.

 

Deleting personal information with Aon
We will delete your personal information ten years after the end of the year in which we received it, and we no longer need to document the advice we have given you. We will retain your personal information in accordance with applicable law such as the Bookkeeping Act, the Finnish Insurance Distribution Act and Anti-Money Laundering legislation.

 

Your rights
You have the right to receive information regarding the processing of your personal data as well as a copy of the personal information that we process about you. If you become aware that the personal information, we process about you is inaccurate or incomplete, you have the right to have it corrected.

You also have the right to object to our processing of your personal information and request it is deleted, or restricted.

If your request is justified, we will correct, delete, or restrict the processing of your personal information accordingly. We reserve the right to require from you verification of your identity before we respond to your request.

You further have the right to lodge a complaint to the Finnish Data Protection Agency regarding Aon’s processing of your personal information. Your complaint must be forwarded to the Finnish Data Protection Agency:
